General settings

Entitlements

In EULANDA® you can define authorizations down to field level. Setting these permissions is similar to assigning the permissions of your operating system's Active Directory, but more complex. This protection is comprehensive and also prevents access from external applications such as Excel, Access, etc. You set these authorizations directly in the SQL server and EULANDA® evaluates these settings accordingly.

However, in order to offer simple integrated protection without familiarizing oneself with the complex authorization structure of the SQL server, EULANDA® offers the possibility to switch menu items, information systems, sections, etc. on or off by simply clicking on them.

The user settings described here can be defined globally, that is, for all users, but also user-related, by defining exceptions.

Global authorizations

These changes apply to all users, except administrators.

Select ".ALLUSER" from the selection box. By default, all menu items are visible for each user. This is indicated by a grey box.

You can now change this default case by excluding certain menu items, information systems or entire sections of the quick start bar. To do this, click on the box. Non-visible functions are then marked with a red cross.

Save the changes with the "Apply" button. The new settings are only active after the program has been restarted.

All visible

Click on the"All visible" button to make all entries visible for the selected user, i.e. to activate them, regardless of the global default setting.

Hide all

The "Hide all" button locks all program items for the user, regardless of the global setting. You can then release individual functions.

All standard

The button "All default" removes all exceptions for the selected user. This means that the user automatically uses all global settings.

Special users

The".ALLUSER" user contains default settings that apply to all users, unless exceptions have been defined for the individual users. This user can be compared with the user of the same name of the Windows© XP operating system.

The".DEFAULT" user is a user template. Each new user logged on to the system is first copied the settings stored for the special user".DEFAULT". This user can be compared with the user of the same name of the Windows© XP operating system.

Elements and sections

The authorization box allows the selection of menu items of the quick start bar. Here, complete sections, for example the "Master Data" area, or individual modules within the section can be blocked.

You can lock individual reports for users.

Configurations

The settings can be completely locked under Quick Launch Bar. However, it makes sense to release certain index cards. For example, it is certainly important to block the tab that sets the permissions, while the tab with the user color setting should be accessible to all users.

Menu items

Special menu items that do not fall under the elements of the Quick Launch bar can be locked here. These are currently the phrase functions.

Information system

Each information system can be locked individually. Especially information systems allow a quick overview of the system. Data that is important to you can thus be made inaccessible to certain users.

Go to

In the program modules articles, addresses, order etc. you can jump to connected operations by pressing the key Ctrl+G or by clicking on the going man in the toolbar
where all linked data are displayed, which you can select from there.

The individual links, that is, the jump targets, can be restricted using authorizations.

Short info tapes

The short information on articles, addresses, etc., which can be activated via View, contain various links depending on the data set and display this information in sections (=tapes). Each tape can be locked user-specifically.

User-specific authorizations

In this example, the user"mela0" was given the authorization to access the text module despite a global lock. However, the substitute administration was also blocked for him. All other settings have been applied globally.

User-dependent setting

This means that you can unlock a globally locked point for a specific user. To do this, click on the box several times for the selected user until a green box appears. The colored contents of the box clearly indicate whether there is an exception to the global setting.

Other users

For optimization reasons, only the logged on user is displayed in the user selection. If you as administrator want all users to be displayed in the selection, you must start EULANDA® as administrator and have activated the extended administrator mode. To do this, call EULANDA® and select the option "Open client as..." in the green start menu with the right mouse button above the client entry...

The alternative authorization is queried in a password box.

password request

First enter the name of the SQL administrator in the password box; this is usually the user"sa". If you have not assigned a special password, the administrator has no password. To instruct EULANDA® to retrieve all user data from the SQL server, you must select the option "Administrator Mode".

You can then select all users in the"Permissions" settings. Depending on the number of users, the program may take up to several to start.

Copy user rights

You can copy permissions you have created for a user to other users by
going to the permission settings and clicking "Copy to...". Then select a user to whom you want to transfer the authorizations of the current client.

Firm's master

The company master data can be managed via this dialog. The data entered here are made available in all reports as"Basic data source" in the printouts. If these variables are used in the reports, changes to telephone numbers, bank details, etc. are immediately available in all reports. You therefore do not need to make any changes in the reports.

In addition to the"fixed" basic values, other fields in the SQL registry can be defined in the key MODULE\Basic values of type string. Targetdevice" takes a special variable in the basic values. This value is set dynamically in the print box and can be used in the form to define different layouts and resolutions for the output unit.

 

Company master settings

Ancestral homeland

This country is linked to the automatic calculation of sales tax. A billing address identical to the home country is recognized as domestic. This setting also controls the assignment of the revenue account. Items have a revenue group, the actual account transferred to Financial Accounting depends on the billing address. The recognition then distinguishes between domestic, EU partners and other foreign countries.

Principal language

The main language is the standard language in which EULANDA® works. Certain text outputs of the SQL server always work in the main language (=primarylanguage). If necessary, this can be translated into a target language, for example into the language of the invoice recipient, in the printout, for example.

Formatting

Formatting determines the output of the number and date format.

Business concern

Your own company name should be short but correct. The address line is also generated from the company name.

Street

The"Street" field is used to create the sender line in the envelope area, among other things.

Country, postcode and city

The country is specified by default according to the international vehicle registration number. Only valid country identifiers may be used, since an additional line with the country name is generated on the basis of the country in the addresses. The subfields postcode and city have no special internal meaning.

Consignor

The sender line is generated automatically based on the company address. With dots or hyphens the individual sections are separated during printing, even if they are shown in this field only as vertical lines. The sender line can be changed manually and adapted to the address field length. By default, the sender line appears in the first line of the window envelope on all transaction reports (quotations, invoices, and so on).

Valuta

You can use the currency to set the standard ID for the master currency and the alternative currency, but you can also convert existing articles and price lists to the new master currency.

Existing invoices, orders, etc. are not converted, as EULANDA® is multi-currency capable. This means that you can always output existing invoices in the old currencies, while the new ones are output in a different currency. All evaluations, statistics, pivot views, and so on are always displayed neutrally in the master currency.

In order to take advantage of this flexibility, the invoice forms must support this accordingly. The report templates provided correspond to these options.

Preparation for Currency Exchange

Note
Before changing the currency, make a data backup, which should be archived on CD, hard disk or at least on another PC.

Legitimacy

Since the currency switch restructures the SQL server, you must have the authorization of the SQL administrator to make the switch. This has the user name"sa" and no password by default (remove points in the password box if necessary).

Notes on forms

After the currency changeover, the forms may still exist in both currencies (old national and EUR). The standard forms supplied have all been converted. However, you can open your existing forms in the report designer and remove the variables ending in AW.

Timeout issues

In this case you are not using the current version of EULANDA®. The timeout monitor was specially dimensioned for the currency change in such a way that no time overflow can occur. If you cannot update, you will find an alternative procedure in the appendix.

Form templates with only one currency

After the currency changeover, the forms are still available in both currencies. Here you can open your forms in the report designer and remove the variables ending in AW. All standard forms are automatically converted by the update and then contain only one currency specification.

Master currency

Here you can see the master currency and the alternative currency. All evaluations, statistics, and so on are displayed in the master currency. This currency is also used when you create new articles and customers.

Alternative currency

This currency is provided in almost all forms marked as AW. This allows you to include a second currency in quotations, invoices, and so on. This is always derived from the main currency amount and calculated in the SQL server.

 

Modification

Use the"Change" button to change the master currency and the alternative currency.

If the current permission to the SQL server is not sufficient to make this change, a login box will be displayed. Enter the SQL administrator name and password to authorize yourself.

In this case, enter the user name of the administrator in the login box. This is usually the name"sa". During the initial installation, the password"sa!M913" is stored for this user.

In addition to setting the new master currency, you can also set an alternative currency in this dialog at any time. The alternative currency does not calculate any existing database fields, but only sets the alternative currency for new addresses. In addition, the address option can be used to select that all existing addresses are to be converted to the new alternative currency. However, alternative currency amounts are only calculated in the forms.

Change article

If you select this option, the article prices for all articles in the article master are converted to the new master currency. The new master currency is also set as an indicator for each article. Optionally, you can specify that only the currency changeover should be set. You can only use this additional option if the article master record already exists in the new master currency, but the currency indicator is incorrect, for example, due to previous import without taking the currency into account.

Change price lists

Each price list can have its own currency. You can also use this option to convert existing price lists into the new master currency. The new master currency is also set as an indicator for each price list. Optionally, you can specify that only the currency changeover is set. This additional option may only be used if the price lists already exist in the new master currency, but the currency indicator is incorrect, for example, due to previous import without taking the currency into account.

Change Addresses

The addresses specify the currency in which the customer wants to have his invoice. This applies to the master currency and the alternative currency. No existing invoices etc. are changed by setting. The change only affects new invoices.

Change substitute

The currency in which they want their commissions is determined in the representatives.

Phone

You can use your own main phone number in report templates. By default, this is used in the templates for electronic stationery under "General" in report management.

Telefax

Your own main fax number can be used in report templates. By default, this is used in the templates for electronic stationery under "General" in report management.

Mobile

The main mobile connection can be used in report templates.

Mail

Your own main mail address can be used in report templates. By default, this is used in the templates for electronic stationery under "General" in report management.

Homepage

Your own homepage can be used in report templates. By default, this is used in the templates for electronic stationery under "General" in report management.

VAT ID

You can use your own VAT ID number (VAT ID) in report templates. By default, this is used in the templates for electronic stationery under "General" in report management. The optional EDI module uses the VAT ID for the transmission of the output type INVOICE.

ILN

The ILN is the"International Location Number" and uniquely specifies each company worldwide. The EAN codes are also derived from the ILN. The optional EDI module uses the ILN for transmission and its own address identification.

Tax identification number

You can use your own tax number in report templates. By default, this is used in the templates for electronic stationery under "General" in report management.

Bank account

You can store up to three of your own bank details in this area and access them in the report templates using variables. In the standard template for electronic stationery, the at least first bank details are also output. In addition to the classic bank code/account number, the bank's IBAN/BIC can also be stored. Since the IBAN is very long and can be mistyped quickly, you should check the validity of the entry using the"Check" button. The system does not check whether the number exists at the bank, but only whether the check digit is correct using the official check digit tests for IBANS.

Logotype

The company logo can be read in here. This function is not recommended if branches are to be connected online via ISDN or other slow network connection, since unlike the reports, the bitmap is not buffered in the local cache. This means that the logo is requested from the database server every time it is printed. However, this is irrelevant in the LAN.

Note that only the BMP format is supported as LOGO format at this point.

Number ranges

There are different number ranges within the program. Which number ranges are listed there depends on the installed modules.

Manage number ranges

After selecting the required line, the current value of the number range is inserted in the input field at the bottom left. You can now change this value and use the"Apply" button to write it back to the upper area.

The number displayed is the next number assigned by the server for the corresponding operation. If the number range is changed to a number that already exists, the server looks for the next gap in the number range for the next transaction or places the number range at the end.

The number ranges are managed by the EULANDA® API in the SQL server.

Standard number ranges

Bid The next number to be used for a new listing.
Remit The next number to be used for a new job.
Bill of delivery The next number to be used for a new delivery note.
Reckoning The next number to be used for a new invoice.
Debtor The next number used for a new customer. The number is not assigned until a new order is created for this customer.
Sales receipt The next number to be used for a new cash voucher. You can create different funds and thus different number ranges for funds.
CrOrder The next number to be used for a new vendor purchase order (=Purchasing module).
Inventory documents The next number to be used for a new physical inventory document. Each physical inventory can consist of several documents (= physical inventory segments).
Edi lists The next number to be used for a new EDI list. If the EDI module is installed, collectors are printed at the end of the EDI transmission and must be faxed to the customer. Each collector must have a unique EDI list number.
Transfers The next number used for a posting change between two storage bins.
Goods movements The next number to be used for a goods receipt.
Incoming goods The next number used for a delivery in Purchasing.

Standard stocks

These settings are obsolete and only available for compatibility reasons. Please use SAMPLE addresses or articles instead.

Commutation

This setting can be used to influence the conversion processes in order processing.

Offer by offer

Copy quotation pre- and post-text If this option is activated, the pre- and post-texts are also copied to a new quotation.

Quotation by order

Can be converted several times If this option is activated, the same offer can be converted several times into an order.
Copy quotation pre- and post-text If this option is activated, the pre- and post-texts are also copied to a new quotation.
Remove Active Flag after Conversion After the quotation has been converted into an order, the"active" indicator in the quotation is removed.
Take over
position numbers of the offer - as far as possible
After activation, the numbering of the quotation in the order and delivery note is retained.

Order by order

Copying Order Pre- and Post-Text If this option is activated, the pre- and post-texts are also copied to a new job.

Changing Prices in the Order

Changing prices in the order is prevented under the following circumstances.

After the order has been posted Once an order has been booked, no more changes can be made to the prices.
Prices are always subject to change
(not recommended)
With this option, the user can change the prices for each status of the order. This option is NOT recommended.
if it has been delivered partially or completely as soon as a partial delivery note has been created for the order, the prices can no longer be changed, this also applies to a complete delivery.
If it was calculated partially or completely as soon as a payment has been received, the prices of the order can no longer be changed.
Refine order Orders can be processed further, even if a delivery note or an invoice already exists.

Order after delivery note

Deliver zero quantities If this option is activated, items that are not yet available, i.e. that have a zero quantity, are also listed in the delivery note.
Tradition If this option is set, order quantities that are higher than those defined in the order can also be released for delivery. This can be useful, for example, for printers who always have to produce more offset printers than originally ordered by the customer.
Book delivery note immediately If an order is converted to a delivery note (=key combination Ctrl+L), the delivery note is automatically posted if this option is set.

This option must not be used if serial numbers, batches or storage locations are used with this EULANDA®.

Since it is not possible to query the numbers or locations in this case, critical errors are generated.

Delivery note after invoice

Calculate zero quantities If this option is activated, items that were still delivered with zero are also listed in the invoice.
Accept shipping costs from delivery note If this option is activated, the shipping costs can be entered subsequently in the delivery note header. These are then included in the total amount in the invoice.

Order verification for collective invoices

When you create a collective invoice that consists of several orders, certain fields in the orders must match. If this is not the case, the collective invoice cannot be created. The delivery notes must then be converted individually.

No examination This setting should only be made in special cases after consultation with Support. No review of the underlying orders is carried out. Accordingly, for example, different currencies could be combined without conversion.
Standard Exam During this check, the total discount, the gross/net setting, the currency, the financial account and the terms of payment are checked for consistency.
Severe examination In addition to the criteria for the standard test, the strict test must also include the same address, representative and language setting.
User-defined check Your dealer has set up a special test for you. Please contact your dealer for more information.

Purchase order after goods receipt

Prohibit creation of a delivery If this option is activated, you cannot add another delivery to an existing order until the delivery has been booked.
Accept shipping costs from delivery note If this option is activated, the shipping costs can be entered subsequently in the delivery note header. These are then included in the total amount in the invoice.

Multiple bearings

If the currently selected user storage group, which was selected when logging on, differs from the storage group of the purchase order, you can proceed as follows when creating the goods receipt:

Storage group: Goods receipt cannot be created.
Storage group: Warehouse group in the purchase order.
Storage group: User storage group.

Features and program functions

The program has been growing for years and with each new version new fields and functions are added. Newcomers in particular find it difficult to understand the essential fields and their significance here.

One of the key points of the update to 6.0 was to simplify this complexity. EULANDA is now divided into over 200 function blocks, the "Feature and Program Functions". Everyone can now turn off functions that are not needed or add interesting ones. This makes the screen masks clearer and there is more space for the remaining fields.

In addition to the clearer screen, the program is also significantly faster, because the information not required is not even requested by the SQL server.

Features and program functions

Operating

The new program item can be found in the"General" section under"Accessories/Settings". All function blocks are divided into sections and often have screenshots to illustrate the function in addition to an explanation.

If a specific function is missing or you want to remove one, such as the fourth name line in addresses, complete warehousing or package tracking, you can search for and select this function. In the feature management you can search for a term in the search box above. All hits will be marked yellow then simply check or uncheck the desired function.
